Real Estate Assistant

Job Responsibilities

Assist with Property Management Department

  • Receive & enter rental checks
  • Print out monthly statements
  • Enter vendor invoices
  • Follow up vendor calls (make appointments, cancel)
  • Interact with tenants and owners
  • Upkeep filing system of owners, tenants, vendors, and other archives
  • Send out payments to vendors
  • Send out checks to owners
  • Make sure Tenant Pro ledgers are balanced for bookkeeper

Assist Fellow Assistants

  • Back up on phones
  • Back up on lunch & breaks
  • Mail outs
  • When requested, help with forms
  • Keep track of sales board

Assist Real Estate Agents

  • Help with understanding certain programs
  • Help with listings (process new listings)
  • Enter new listing in Maestro
  • Contact person for assigned agents listings (arrange for showings)
  • Type out DROA as directed
  • When an accepted offer comes in open escrow
  • Assist with lead tracking, calling to confirm appointments, arrange to make sure everyone is confirmed and will be at the designated time and location
  • Assist agents with clerical/office work (typing, mail out, correspondences, calls, etc... as advised)

Other Duties

Currently assigned to Top Dollar

  • Input new, pending, closed transactions
  • Print out reports as directed (currently setting a standard date report)

Keeper of Supply Room

  • Keep inventory
  • Give out supplies as requested
  • Order supplies
